How to prepare your files
Which columns each file needs, date and number formats, and templates.
Abastecia reads Excel files (.xlsx, .xls) and CSV files. It uses the first sheet of the Excel file, and the first row must contain the column names.
Products
| Column | What it is | Example |
|---|---|---|
| sku | Product code, the same one used in sales and stock | P001 |
| descripcion | Product name | Arroz blanco 5 kg |
| proveedor | Who you buy it from | Distribuidora Andina |
| coste | What one unit costs you | 5,20 |
| lead_time_dias | Days the supplier takes to deliver after you order | 7 |
| precio (optional) | Selling price of one unit | 6,50 |
| moq (optional) | Supplier's minimum order, in units | 24 |
| multiplo (optional) | Units per case, if the supplier only sells full cases | 12 |
| vida_util_dias (optional) | Days until it expires, for perishables | 10 |
| lead_time_std_dias (optional) | How many days the supplier is usually late | 2 |
Sales
| Column | What it is | Example |
|---|---|---|
| fecha | Date of the sale, as day/month/year (dd/mm/yyyy) | 21/09/2026 |
| tienda | Name of the store or warehouse | Centro |
| sku | Product code | P001 |
| unidades | Units sold that day | 12 |
- You can upload one row per sale or per day; Abastecia adds them up by week.
- The more history, the better: 2 years is ideal, because that lets us detect seasonality (for example, Christmas or back-to-school). We use up to 3 years.
- Returns (negative quantities) are ignored.
- If you upload sales again for dates and stores that were already there, the new ones replace the old ones. Nothing gets duplicated.
Stock
| Column | What it is | Example |
|---|---|---|
| tienda | Name of the store or warehouse | Centro |
| sku | Product code | P001 |
| stock_actual | Units you have today | 35 |
| pendiente_recibir (optional) | Units you've already ordered that haven't arrived yet | 24 |
When you upload the stock for a store, it replaces all of that store's previous stock.
Column names
You don't need to rename your columns. We recognize the usual names, regardless of capital letters or accents:
- Code: codigo, cod, referencia, ref, item, articulo, codigo producto.
- Store: local, sucursal, bodega, almacén, punto de venta, pdv.
- Units: cantidad, cant, uds, unid, unidades vendidas.
- Name: descripción, nombre, producto, detalle.
- Cost: costo, coste, precio de compra, costo unitario.
- Lead time: plazo, plazo de entrega, días de entrega, tiempo de entrega.
- Stock: existencias, inventario, disponible, saldo.
- On order: en camino, por recibir, pedido pendiente.
- Case: múltiplo, unidades caja, empaque, pack. Minimum: pedido mínimo, mínimo compra.
We also recognize these English column names: date, store, code or sku, quantity or qty, description or name, supplier, cost, price, lead time, stock or on hand, and on order.
If you have just one store
You can remove the tienda column from sales and stock. Abastecia will use the same store for everything.
Numbers and dates
- Numbers can use a decimal comma or a decimal point: 1.234,50 and 1,234.50 are read the same way. Currency symbols are ignored.
- Dates go in day/month/year format (21/09/2026 is September 21, 2026), not month/day/year. We also accept 2026-09-21.
Templates
In My data, each file has a Copy template button: it copies a sample header row that you can paste into Excel.
Size
Each file can be up to 25 MB. If your sales file is bigger, split it by year and upload it in several parts.
